Users and Groups Properties

user-properties

Here is described controls for "Users" tab. Controls in "Groups" tab are similar.

Unlisted users/groups can print - Allows users and groups which not listed in audit tables send they print jobs for printing. If you want to disable printing for users/groups which is not listed in audit tables, clear this checkbox.

Allow Audit - switches on or off gathering the information about print jobs for the selected user/group.

Allow Quotas - switches on or off the control over quotas of the selected user/group.

Quota policy - switches the quota mode. Read more about quota modes here.

The User/Group Quota fields group defines a quota for the user/group in pages (User Quota, Pages) and in money units (User Quota, Costs); amount of the used quota in pages (Quota Used, Pages) and in money units (Quota Used, Costs); amount of the remaining quota in pages (Quota remaining, Pages) and in costs (Quota remaining, Costs).

NOTE: If you set zero value as quota/limit, the Print Logger will ignore this parameter while checking quotas/limits.

Job limit, pages - using this option you can set a print job limit for each print job for selected user/group. This option limits number of pages for each print job for this user/group. If you set some value for this option, all jobs with pages number lager then defined value will be blocked.

Reset quota for user - resets quotas for selected user to start values. Software also resets quotas automatically based on Quota Basis value.

Reset quota for all users - resets quotas for all users to start values. Software also resets quotas automatically based on Quota Basis value.

Validate users/groups - Synchronize users/groups in configuration files and users/groups in your system.

Refresh data - Press this button to refresh users and groups data.

There is no sense to use user based quotas in domain or server based network where groups is available. Always use groups instead users, it is more comfortable and easily to manage. Quotas for separate users( if users are more then 20...30 ) should be used as exclusion for users with very extraordinary requirements.

You should using user based quotas on those computers, on which work of several users is allowed. In particular it concerns the "general purpose" computers which are not having the constant owner. Here it is possible to relate mobile computers of the remote users (taking place outside of office of the company and frequently used by different employees).

NOTE: The regular Windows and groups can be used for Print Logger. But for best results you should create special groups for Print Logger to organize your users in your own manner. Each user can be a member only of the one special group. There is no internal (non Windows) user/groups is used by Print Logger.

NOTE: If user is a member of two or more groups, quotas and statistics will be processed for first group where user is member. Other groups will be ignored.

QUESTION: The user is a member of the Users group , but a quota and statistics is shown for Administrators group only. The Users group is not shown in statistics? Why?

ANSWER: The user is a member of two groups - Users and Administrators. Statistics is shown for the first found group in which the user is a member. You need to create separate group for the user and to add it in Print Logger configuration. Also you should remove Users and Administrators groups from the Print Logger configuration.
